Office Manager

Chicago, IL – April 4, 2023 – RCP is seeking to hire a full-time Office Manager to join our team. This position requires someone who is a very friendly, easy-going, positive/upbeat, detail-oriented, organized, proactive, hardworking, professional, who is able to multi-task, take initiative and work well as part of a team. This is an in office role based out of RCP Advisors' Chicago office.

 

The ideal candidate would be proficient in MS Office software programs, and, if possible, have prior experience working with Salesforce.com or other contact management software. As this position represents RCP as a “first impression” of the firm, the candidate has to be conscious of that role and conduct themselves in a friendly, professional and accommodating manner with respect to all guests, potential investors, current investors, and various callers. An undergraduate degree is required.

Office Manager Responsibilities:

  • Answering phones

  • Welcoming guests, preparation of conference room, offer coffee, water, etc.

  • Coordination of Monday conference call materials and catering

  • Ordering catered meals for meetings, upon request

  • Overall general office coordination, management and organization

  • Mail and package sorting & delivery, preparation of USPS mail and UPS/FedEx packages and shipment labels, etc., including mass mailings

  • Liaison to the HR Manager to assist with various tasks including, onboarding/offboarding of employees, scheduling interviews, new employee office tours, etc.

  • Assist in general office management (building tenant requests, guest security clearance, etc.)

  • Beginning & end of day kitchen preparation and organization

  • Monthly General Office Expense Report

  • Administrative assistance to all RCP staff

  • Coordination of calendars, schedule meetings, restaurant reservations, travel arrangements, etc.

  • Data entry projects

  • Photocopying, scanning, filing, sending and receiving faxes

  • Ad-hoc projects as needed

Requirements and Qualifications


Required:

  • Bachelor’s Degree

  • Proficiency in Microsoft Office including Outlook, Word, Excel and PowerPoint

  • Highly organized individual with strong attention to detail, sense of urgency and ability to multi-task.

  • Proven ability to consistently and positively contribute in a fast-paced, evolving work environment

  • Possess strong attention to detail and the ability to effectively prioritize multiple tasks in an environment with distractions

  • Ability to adhere to an expectation of complete confidentiality on all business matters

  • Excellent communication (verbal and written) as well as interpersonal skills; proven ability to take initiative and build strong, productive relationships

  • Must have the ability to interact with a variety of individuals (employees at all levels, clients, vendors), along with the ability to work independently are required

  • Demonstrated ability to learn, intellectually curious and forward thinking

Preferred:

  • Some work experience in an administrative or customer service role

  • Experience in professional services or private equity environment

  • Proficiency with Investran, Salesforce
