Administrative Assistant

Chicago, IL – RCP is seeking to hire a full-time Administrative Assistant on the Investments team. The  Administrative Assistant is responsible for a variety of administrative and analytical tasks to support members of the team. The role requires a highly organized individual with strong attention to detail, a sense of urgency, and the ability to multi-task. Must be proactive and thrive in a demanding, fast-paced, and constantly changing environment.

Duties and Responsibilities:

  • Manage team’s calendars, schedule meetings, and set up conferences across multiple time zones 

  • Assist with various administrative aspects of the team, including but not limited to: monitoring email inboxes, answering phone calls, mail services, general copying, filing, and scanning

  • Support in the preparation of reference reports and investment meeting summaries, as well as client confidentially agreements 

  • Organize internal and external meetings, including logistics, attendees, materials, and communications 

  • Schedule all travel within budget, producing travel itineraries and expense reports 

  • Perform special projects and additional administrative duties as assigned 

Requirements and Qualifications:

Required:

  • High school diploma or equivalent 

  • At least two years of direct experience in an administrative role 

  • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Salesforce or other CRM software 

  • Highly organized individual with strong attention to detail, sense of urgency, and ability to multi-task

  • Proven ability to consistently and positively contribute in a fast-paced, evolving work environment 

  • Possess strong attention to detail and the ability to effectively prioritize multiple tasks in an environment with distractions 

  • Ability to adhere to an expectation of complete confidentiality on all business matters 

  • Excellent communication (verbal and written) as well as interpersonal skills; proven ability to take initiative and build strong, productive relationships 

  • Must have the ability to interact with a variety of individuals (employees at all levels, clients, vendors), along with the ability to work independently are required 

  • Demonstrated ability to learn, intellectually curious, and forward thinking

 

Preferred:

  • Associates degree or higher

  • Experience in the professional services environment

  • Proficiency with Tripsware
